Make the request actionable
Start with the business outcome and the person coordinating the project. Add product or system requirements, quantities, locations, timing, and setup or support expectations. If some details are undecided, name the open decisions so they can be addressed during scoping.
Send a brief with decisions still open
Include the equipment list, quantities, locations, target timing, budget context if available, and any installation or support requirement. Mark the specifications you have already decided and those where you want alternatives. Name a contact who can clarify the brief. A useful proposal then compares the requested scope with the offered equipment, dependencies, pricing, and delivery assumptions before the project is approved.
